Terms for coaches

Version 2026-11-02

About these terms

These terms are between PBd (the company's legal name and address are to be added) ("PBd", "we", "us") and the coach or business ("you") who signs up to use PBd. PBd is software for personal trainers and coaches to run their business: programmes, check-ins, messages, bookings, payments, a website and AI drafting tools. You can contact us at hello@pbdcoach.com.

By creating an account or accepting these terms you agree to them, and to the data processing agreement and sub-processor list, which are part of them.

Your account

You must be at least 18 and be signing up for a business or professional purpose. Keep your login private. You are responsible for what happens under your account and for anyone you let use it. Tell us at once if you think it has been misused.

Coach accounts are created by invitation or by us. Your clients are given their own accounts and belong to you.

Your clients and your responsibilities

You decide why and how your clients' information is used, so for it you are the data controller and PBd is your processor. The data processing agreement says what that means in practice.

You are responsible for: having a lawful reason to hold your clients' information; telling them how you use it (PBd gives you a privacy notice and terms for your website to start from, which you must check and keep accurate); getting their written agreement before using their photos or results publicly; and registering with the Information Commissioner's Office if you need to.

Health information (PAR-Q answers, injuries, progress photos) is especially sensitive. Only ask for what you need. PBd does not give medical, nutritional or training advice. You are responsible for the advice and programmes you give, and for having the qualifications and insurance your work needs.

Payments

Every payment from your clients and website visitors is taken into your own Stripe account. You must accept Stripe's terms and complete its checks. PBd does not hold your money. The money, the refunds, the chargebacks and Stripe's fees are yours.

You decide your prices and your cancellation and refund rules, and you are responsible for following consumer law, including the 14-day cancellation right for distance sales. PBd gives you tools and wording to help, which you must check suit how you work. At the moment PBd takes no fee on your clients' payments; if that changes we will tell you first.

Fees

Using PBd is free during the pilot. Before it ends we will tell you the price and what is included, and you can choose not to continue. We will never charge you without you agreeing to a price.

AI features

The AI tools draft things for you: programmes, edits, replies. Nothing is ever sent to a client without you reading and approving it. You are responsible for what you approve, so check it. AI can be wrong.

What you type into an AI feature, and the programme or message text it works on, is sent to our AI provider to produce the draft. Do not put a client's name or medical details into the free-text fields. Each coach has a monthly allowance of AI use.

Acceptable use

You agree not to use PBd to:

  • break the law, or send spam or unwanted marketing
  • upload anything unlawful, abusive or that you don't have the right to use
  • collect more of your clients' information than you need, or use it for something they weren't told about
  • try to get into other coaches' data, probe or overload the service, or work around its limits
  • resell or share your access

Your content

Your programmes, exercises, photos, videos, website words and client records stay yours. You give us permission to store, process and display them as needed to run PBd for you and your clients. We do not use your clients' information for our own purposes or to train AI.

Leaving, and getting your data

You can stop using PBd at any time. On request we will give you an export of your data (programmes, client records, bookings and payments) in a standard format, within 30 days.

After you leave, we delete your data from the live service within 30 days, and from backups when they expire, unless the law requires us to keep something (such as accounting records).

Availability and support

We work to keep PBd running and your data safe, but it is software, and the pilot is an early version. We do not promise it will always be available or error-free. We will tell you promptly if something affects your clients' data or payments. Support is by email on a reasonable-efforts basis.

Our responsibility

Nothing in these terms limits liability that cannot be limited by law, including for death or personal injury caused by negligence, or for fraud.

Subject to that, we are not liable for lost profits or indirect loss, and our total liability to you in any 12 months is limited to the fees you paid us in that period, or £100 if you paid nothing. You are responsible for claims by your clients arising from your own advice, programmes or business.

Ending this agreement

Either of us can end it at any time by telling the other. We may suspend or close an account straight away if it is used unlawfully, puts other people's data at risk, or seriously or repeatedly breaks these terms.

Changes and the law

We may update these terms. We will tell you before a material change takes effect and ask you to accept the new version. These terms are governed by the law of England and Wales, and its courts have jurisdiction, unless you are a consumer with rights elsewhere.
